Purpose of Position:


To assist the Executive Management Team to achieve departmental and corporate objectives by providing administrative and logistic support. Reporting to the Sr. Vice President, the Executive Assistant is responsible for maintaining schedules, departmental communications, meeting and conference call preparations, and other administrative duties for the Sr. Vice President and for other departmental managers as requested. The Assistant may be called upon to manage projects and may be involved in some aspects of Open Text’s Livelink Intranet as well as other duties, which may arise from time to time.


Primary Duties:


1. Keep informed of company and departmental changes in staff, organization and procedures.
2. Coordinate schedules, arrange for meetings, and make travel and other logistical arrangements.
3. Identify ways in which mangers of the department can operate more efficiently and implement administrative support system to assist in this.
4. Assist in the processing and tracking of departmental approvals for purchases, HR changes, travel and other areas.
5. Organize and manage departmental information on the company Intranet, including the design of workflows.
6. Work with each department manager to monitor monthly and quarterly expense and revenue rates and assist in implementing expense controls.


Skills and Knowledge:


• Strong interpersonal skills and customer orientation.
• Good listening skills in a telephone environment.
• Computer excellence with Microsoft Office 2003, to include strong skills in Visio, Excel & Powerpoint.
• Strong organizational skills with an ability to balance multiple projects in a fast paced environment.


Education:


The position requires a Bachelor’s degree, College diploma or equivalent experience.
