Position Summary:This position is responsible for greeting visitors and answering phones in a positive and professional manner. In many instances, you will be the first line of contact with Speakeasy’s customers. You will also handle a variety of clerical, administrative, facilities and fulfillment-related duties. Responsibilities:Receptionist: Assuring that during normal business hours the reception desk is covered at all times Keeping the reception area tidy and attractive Answering and routing incoming phone calls and voicemails Providing callers with information such as company address, directions to the company locations, company fax numbers, company websites and other related information Greeting visitors, including job candidates, and notifying staff of their arrival Issuing and retrieving visitor badges; maintaining visitor logs Maintaining and updating the Receptionist Handbook Providing new hire employees with a welcome email that includes general administrative information regarding the company Distributing Microsoft Exchange electronic faxes from the public fax queue Distributing incoming mail/packages/deliveries; posting outgoing mail Maintaining/ordering/distributing of office supplies Stocking and upkeep of the company supply rooms Handling special shipping or mailing requests, courier services, UPS, DHL, FedEx, etc. Collecting and posting outgoing mail Accepting and recording in-person payments from customers Maintaining relationship with outside service vendors (Office supplies, Catering & etc.) Ordering lunches and scheduling meetings for various groups, as requested Scheduling meeting requests for meeting organizers and attendees; maintaining conference room schedules including daily printing and posting of the Boardroom calendar Provisioning special requirements for conference room meetings Managing taxi voucher program for the company Editing and approving business card orders for all staff; ensuring accuracy and branding Assisting departments with projects as neededOffice Administration: Coordinating logistics for Channel Partner Training events Monitoring and assisting with hardware orders and returns in fulfillment queues including Business VoIP; Residential-VoIP; Bonded T1; and hardware queues Monitoring and assisting with shipping queue for Engineering department shipments. Also responsible for monitoring Facilities queue and completing tickets Coordinating weekly offsite data storage/backup tape deliveries for Engineering Coordinating weekly offsite shredding service Preparing and requesting approval for nondisclosure agreements and termination waivers in the Purchasing Team’s absence Performing other office tasks as assigned, for example: Printing channel partner certifications and mailing to new channel partners Mailing moving kits to customers who request them off of the website Identifying returned mail for the Credit department and Customer Operations Sending kudos requests to customers for Marketing/Sales/Support Providing administrative support for contracts management The position requires the following skills and experience: 2-3 years of receptionist experience, preferably in a customer service company Ability to deal pleasantly and professionally with customers, employees and other visitors, both by phone and face to face Proven self starter; able to initiate/suggest and follow through on projects and tasks with strong attention to detail Strong customer service focused attitude Ability to multitask and prioritize on a daily and moment-to-moment basis Excellent verbal and written communication skills Experience with Microsoft Office Suite; Word, Excel.
