Office Administrator 3
This individual will provides administrative and clerical support to relieve department managers and/or staff of administrative details. Duties will include the following:
* Greets SAS customers and guests visiting the regional office. Acts as department liaison; distributes appropriate information to and continually communicates with, staff. Responsible for the efficient gathering of (i9) new hire information to assist HR in regional office hires. Works through property management to keep staff/employee base up to date with new hires/exiting staffers. Primary contact for IT Dept in keeping CommRm functioning and works in tandem as their troubleshooter to resolve problems.
* Screens telephone calls; takes messages or redirects calls; responds to routine questions. Monitors 'Phfishing' calls for Regional Office. Assists a first-time-caller (new potential customer to SAS) with Cary/specific phone numbers to get them correct/direction for their needs.
* Assists in performing specialized administrative duties related to the department assigned. Can cover Education Dept. Sales Dept. May assist training coordinator in smaller offices and Assist Sales staff when available from CSD mandated duties as noted in this CSD job description. .
* Composes and types/enters documents; may take dictation or notes, possibly of a technical nature. Works in SAS Absence system, time card, INSINC, MIDAS, office usage report, COB, IM Communicator, WebEx.
* Keeps process documents up-to-date and maintains accurate filing systems. Working awareness of CSD operating budget requirements… trained through the OpsMgr or CSD Management.
* Performs general office duties: process mail, ship materials, duplicates and faxes documents; order supplies and equipment; arrange for equipment repair; Works on-line with local Food/Vendor ie: COSTCO, SAM'sCLUB, Office Depot. Serves a local contact for Property Management and liaison for SAS concerning responsibilities as a tenant in the building for life-safety, security & disaster preparedness.
* Maintains calendars and coordinates schedules; makes appointments and travel arrangements; assists guests. Potential to work with International travel arrangement and the SAS Travel Dept.
* Arranges meetings and seminars; coordinates processes, events, and office moves. Makes all arrangements, creates ideas and sets all reservations for SAS corporate sponsored events for staff: ie: Summer/Winter and other special event dates: Coordinates with customer/client/SAS employee for on-site meetings within a regional office and officiates on all catering needs.
* Prepares paper and on-line requests (e.g., for purchases, reproduction, checks, travel, expenses). Provides regional/office/specific updates concerning expenditures, visitors, space utilization, etc. using Sharepoint and iExpense.
* Inputs data into software applications, verifies accuracy, and produces requested reports. Needs working knowledge of: MS Excel, MS Work, MS Sharepoint, MSPowerpoint,
* Serves as point of contact for internal and/or external guests.
* Performs other duties as assigned.
Qualifications
Essential
*
Associate's degree in Secretarial Science, Business Administration, Administrative Office Technology, or related field.
*
Four years of general office experience required, preferably related to area of assignment.
Additional
*
Excellent knowledge of office procedures.
*
Good problem solving, writing, interpersonal, communication, and organizational skills;
*
Good computer skills with a user's knowledge of various software applications.
*
Ability to operate office equipment;
*
Ability to calculate basic arithmetic.
*
Experience with the Microsoft Office Suite.
Preferences
*
Previous experience in a busy, high-profile business office.
*
Corporate receptionist experience.
