IT Administrative Assistant

Our Berkeley client is seeking a well skilled IT Administrative Assistant for a 6 month contract.The ideal candidate will have a mix of Administrative Assitant skills and Project Administrative skills.Duties and Responsibilities • Wall to Wall project activities: o Work with Cost Center managers to determine appropriate level of leased desktop computing resources for each department o Work with Cost Center managers to fill out IT computing exception forms o Track all Cost Center project email correspondence o Track Cost Center Management computing exception forms o Work with outsource provider to reconcile computing asset database • Coordinate project related activities they relate to Infrastructure project efforts. • Organize and schedule project status meetings, end user meetings and other project communications as necessary. • Create and publish project meeting agendas and meeting minutes. • Maintain project and department metrics related to project costs, budgets and resources. • Maintain and update project schedules, project plans and project status reports. • Provide project administrative assistance to management personnel within the IT infrastructure Department Requirements • 3 to 5 years experience in multiple concurrent project environments, supporting project managers and project team members • Hands on responsibility for set up, and maintenance of project scopes, specifications, documents, plans and schedules based on input from project managers and project team members. • Hands on responsibility for capturing project hours, costs, changes, and communications from a project’s initiation through closure using various electronic and paper systems based on input from project managers and project team members. • Project durations ranging from multiple weeks to three months. • MS Office skills (Outlook, Excel, Word, PowerPoint, MS Project) • Detail-oriented and self-motivated • Proactive, customer service oriented • Able to effectively communicate orally and in writing with business leaders, vendors and technical staff. • Strong analytical skills, detail-oriented, accurate, and organized • Proactive approach to problem-solving • Able to maintain proprietary company information in strict confidence. • Ability to prioritize and track work from many sources and multitask. • Ability to work both independently and as part of a team and know when to do each.
