Account Coordinator

As our new Account Coordinator you will be responsible for coordinating all agency work on behalf of assigned client(s). This includes, but is not limited to: • Initiating all agency jobs. • Keeping production work moving according to the established production schedules. • Inputting performance data into existing reports. • Assisting the client team in meeting the needs and objectives of the clients • Scheduling and tracking jobs including all due dates and client approvals. • Communicating and following up on due dates among other client team members (writers, artists, production coordinators, media, etc.). • Setting up internal meetings as needed. • Coordinating resources for each client job. • Providing accurate information and data for estimating. • Proofing copy, art, and vendor proofs (bluelines, laser sign-offs, etc.). • Providing postage requests, job matrices, final select orders, code logic for production requirements. • Approving vendor invoices for billing. • Client billing, as needed. • Tracking, compiling and reporting actual job costs for client review. • Communicating status of each job on a weekly basis to the client. • The ability to work on a team; maintain a positive and a professional demeanor; and accept constructive criticism in a professional, mature manner. • Label/file samples. • Maintain comprehensive job folders for each job. • Provide administrative support to the client service team, and other team members as needed. • Prepare documentation for client meetings. SKILLS AND ABILITIES: • Direct response experience desired. • Ability to manage multiple tasks at any one time. • Ability to communicate effectively, especially when facing deadline pressures. • Must be detail obsessed. • Strong organizational skills. • Proficiency in Word and Excel. • Proven ability to prioritize work and meet deadlines.
