In this confidential contract position, the Human Resources Administrative Assistant’s responsibilities will include, but are not limited to:
· Scheduling of candidate interviews with multiple interviewers using Notes calendar tool (experience with Outlook is applicable) in support of recruiters and HR Business partners.
· Manage and maintain resume files for audit compliance (no interest, future interest).
· Filing of HR documentation in employee files.
· Acknowledge employee referral resumes and upload resumes into HRSmart Applicant Tracking System (ATS).
· Provide back up to receptionist at lunch/breaks.
· Coordinate background and reference checks on prospective new hires through third party vendor.
· Carry out project work as directed.
Requirements:
· High school graduate. Degree in Human Resources, Business or related field or the equivalent of education and experience a plus.
· 1-3 years relevant and progressively responsible experience.
· Ability to maintain confidentiality.
· Proficiency with Microsoft Office applications, (Word, Excel)
· Excellent verbal and written (English) communications skills, public speaking and interpersonal skills.
· Meticulous attention to detail. Ability to process large volumes of data accurately and in a timely manner.
· Must be flexible and adaptive to change.
· Solid decision-making ability based on a mix of analysis, experience, wisdom and judgment.
· Strong organizational skills with ability to plan and prioritize work to meet deadlines.
· Ability to work independently as well as with others.
· US Citizen or permanent resident.
