Administrative Assistant:  IT Department TRANS WORLD ENTERTAINMENT is one of the largest specialty music and video retailers in the United States. The Company currently operates over 800 retail stores in the United States, the District of Columbia, the U.S. Virgin Islands and Puerto Rico and operates a retail web site at www.fye.com   You may know us under our brand names of F.Y.E., Suncoast brands, Second Spin, etc.  The company offers a wide selection of entertainment products, including CDs, DVDs, video games, boutique/specialty items and related accessories.  The company’s headquarters, along with its main distribution center, is in Albany, NY with an additional distribution center in Carson, CA. Trans World Entertainment is seeking an Administrative Assistant to report directly to our Director of IT Operations.  The Administrative Assistant will be responsible for providing administrative support as well as coordinating vendor invoices, contracts, and service agreements.   Responsibilities include but are not limited to: ·        Answering telephone lines and providing user support as needed. ·        Photo copying, faxing, filing, scheduling·        Processing invoices, updating MS Access database & generating reports as requested·        Maintaining and keeping track of IT contracts·        Purchase order management & tracking·        Weekly payroll and maintaining IT staff vacation & out of office Calendars·        Travel arrangements ·        Daily report filing & distribution for the Data Center when required·        Maintaining Access database for IT phone lists·        Conference calling card management·        eFax account management·        Managing pagers, cell phones, and store telephone support as backup to Telecom Support Project Manager·        Mail pick-up, sorting and delivery·        Maintaining voicemail distribution list & store speed dial·        Special projects as required Qualified candidates will possess at least a High School Diploma, Associates preferred.  At least 2 years of administrative support; experience working in an IT environment is a plus!  Candidates must have excellent communication, inter-personal skills, and experience using Microsoft Office programs (Word, Excel, Access and PowerPoint.)  EOE Women/minorities encouraged to apply.
