HR/Staffing Assistant
Job Summary: Provides administrative support to the HR team with a main focus on staffing.
Knowledge, experience, and skills required to carry out the job:
Must have good communication skills and maintain confidentiality, must be proficient in MS Word and Excel. Staffing or Administrative Assistant experience is a must! Highly self motivated and ability to multi-task is essential in this position.
Main Activities Carried Out
Submit and retrieve background checks
Schedule for Drug Screen & Physicals – Alcohol swab before sending person to the clinic, completion of 2nd injury fund form
Schedule Safety Council courses
Make calls when all background and Drug Screen results are in and schedule for New Employee Orientation.
Print and distribute online applications
Take and return calls for Recruiting Information sessions
Purge application files – kept on file for 1 year
Input new hires and rehires into AS400
Create and file new employee folders
Print Monster resumes and distribute, send post card if needed
Purge terminated employee folders
Have tankerman new hires complete the D&A questionnaire to be submitted to their previous employers
Coding of Safety Council and background check invoices
Relieve receptionist (front desk) as needed
File all paperwork located in the to be filed box (front desk)
Complete employment verifications
File applications and resumes
Make copies and distribute new employee packets to recruiters on day of New Employee Orientation
Write minutes for Strategic Team Meeting
