Executive Assistant/Paralegal
Paraprofessional sought to provide direct support to the Sr. VP of Regulatory, Quality and Compliance, and the General Counsel of a fast-growing, entrepreneurial, high-tech and highly regulated medical equipment and device company. Responsible for contract and document management, drafting, monitoring, and revising multiple agreements, monitoring regulatory and compliance matters and IP portfolio, scheduling and managing travel itineraries and providing other support for executives. Must be willing and able to perform wide range of tasks, from organization and planning and analysis to typing and scheduling of meetings and international travel. Health care, regulatory, legal and/or intellectual property experience preferred.
ESSENTIAL JOB RESPONSIBILITIES:Directly supports the General Counsel, the Sr. VP of Regulatory, Quality and Compliance, and the Regulatory/Quality/Compliance Department.Responsible for scheduling and managing extensive global travel itineraries, including transportation, accommodations, meals, etc. and handling executives’ expense reports.Manages and coordinates healthcare professional contracts for compliance which will include; preparing the paperwork to be mailed, tracking documents sent and received, and interacting with physicians, hospitals, and vendors to obtain information and materials.Drafts legal documents when appropriate, checks for accuracy, prepares red lined revisions for the General Counsel’s review, summarizes legal documents, and is responsible for maintaining the terms of contract renewals.Assists in budget renewals, and generating and processing check requests.Supports assembly, printing, and transmittal of all regulatory submissions.Undertakes legal and regulatory research and prepares reports and summaries for the department.Responsible for the coordination and organization of schedules and meeting times for the Department.Responsible for project management, tracking status of multiple projects, monitoring timelines and preparing reports for management.Maintains and updates reference library database and filesOther duties as assigned.
EDUCATION AND EXPERIENCE:Bachelors Degree in legal studies or paralegal certification (strongly preferred).(10) Years experience in an administrative position supporting top level executives.Experience supporting senior legal and/or contract or regulatory professionals desired.Paralegal and project management experience recommended.Experience in healthcare, regulatory, and/or intellectual property fields desired.
SKILLS AND ABILITIES:Superior organizational skills with an excellent sense of detail.Initiative, creativity, ability to work independently and use innovative thinking.Proficiency in data and document management, including: Outlook, Word (including document redlining), Excel, PowerPoint, and Access.Positive attitude and ability to interact with personnel on all levels of the organization.Flexibility and the willingness to be a team player, performing all levels of tasks with enthusiasm.Excellent writing and communication skills. Ability to prioritize and work under a tight schedule essential; flexibility regarding hours desirable
