Executive Assistant / Office Administrator
A fast paced start-up requires an Executive Assistant cum Office Administrator for their office to be located in the Westford, MA, area. The right candidate will have the ability to multi-task and have the flexibility to adapt to a fast growing environment. Must be able to work with a changing job profile and be willing to take on responsibility as the Company requirements change in line with a true Start-Up environment.
Primary Responsibilities:
As the Executive Assistant to the CEO:Proactively manage executive calendar.Plan travel for CEO as well as others as may be instructed. Prepare expense reports and submit them in a timely fashion.Coordinate external as well as internal meetings.Prepare responses to written and email correspondence as directed.Handle any other tasks that may be assigned in this capacity.
As the Office Administrator:Manage front desk, guests, and answer incoming phone calls.Act as liaison between various offices, including coordinating travel for other employees traveling to Boston.Manage all vendor contracts and proactively negotiate rates for the Company.Ensure office supplies are stocked and the office is maintained properly.Provide support to the sales and marketing team as required.Work as part of the administrative team and take on any additional assignments.Experience supporting Sales team.
Requirements:
The successful candidate should:Possess excellent oral and written communication skills.Possess superior interpersonal skills and ability to work effectively with all levels of management and staff.Be a true self starter with ability to proactively step up to handle responsibilities in a fast paced environment.Be able to handle confidential informationHave a high level of proficiency in MS Word, Excel, and PowerPoint.Associates degree (or higher) with 5+ years experience in an executive assistant / administrative function preferred.Salesforce.com experience a plus
