Position: Office Services Department Assistant

Reports to: Manager, Office Services/Facilities

 

Overall Responsibility:

To assist vital functions in the Office Services Department

 

Key Tasks and Responsibilities:Cover the reception desk daily from 8:00 – 8:30am, during the receptionist’s lunch hour, and during the receptionist’s breaksCover the reception desk when the receptionist is out of the office (out sick, vacation, etc.)Reception duties include, but are not limited to:Oversee daily opening procedures; ensure reception area is presentableAnswer, screen, and route callsTake messagesProject a patient and courteous image. Provide customer-focused information services to employees and guests. Greet and direct guests.Over-see sign in sheetsProvide on-site administrative support, as requestedManage calendars, schedule conference room bookingsFile, fax and copy documentsMaintain a clean and professional atmosphere for guest areasReceive incoming/outgoing packages and ensure recipient notificationProvide support to the Catering/Events Coordinator, including but not limited to:Set up conference rooms/meeting rooms (food & furniture) and serve catering when necessaryAssist coordination of all conference room schedules and catering needsPlace and receive catering ordersClean-up catering/conference rooms after useClean up, maintain, and stock kitchens & pantryCollect used dishes from kitchens & pantries and common areas. Load and unloading of dishes from dishwasher. Put clean dishes away.Set up and maintain café breakfast and coffee service, and for other events in the café Remove dishes and utensils from workstations as necessaryAssist with any other requested tasks that may be needed to support the Office Services Department

 

Skills, Attributes and Requirements:Must be available to work daily Monday through Friday, 7:30am - 1:30pm 5 days a weekStrong presentation and communication skillsExcellent organizational skills and attention to detailA positive, “can-do” attitudeA strong and reliable work ethicA team player able to work effectively with other member of the Office Services team A strong orientation towards customer serviceAbility to juggle incoming calls, visitors, and employees with composure and attentionA quick thinker, proactive and able to solve problems when time is of the essence
