BUSINESS SERVICES ASSISTANT

TEXAS CITY, TX

 

Job Summary:  The purpose of this position is to assist the Business Services Manager in the administrative functions of Contractor Compliance and Administrative Office Support

 

Essential Duties and Responsibilities

· Contractor Compliance:

o  Request documentation (Pre-Qualification Questionnaires, Service Agreements, Certificates of Insurance, Credit Applications, and billing information from contractors and suppliers. 

o  Input documentation into master files and electronic filing system

o  Process documentation for approval under direction of Business Services Manager



 

· General Administrative Office Support Generate, code and process purchase order(s) for all requisitions in SAPProcess accounts receivable and accounts payable in SAPProvide receptionist services, greet and present visitorsCoordinate off-site meetings Responsible for conference room booking, preparation and clean-up for meetingsPrepare, receive and distribute daily mail, faxes and carrier (i.e. Fed Ex, UPS, etc) packages.Take minutes for meetingsProvide day to day administrative assistance, such as, filing, collating, alphabetizing, faxing, copying, data input, drafting correspondence, etc. Coordinate and make travel arrangements Run business related errands, such as going to the Post Office or an office supply storeTrack Office Staff attendanceReview and submit expense reports for processingGeneral office housekeeping of all common areasMonitor, order and maintain appropriate level of all office supplies, including workroom and kitchen.Coordinate office equipment and facility maintenance issue repairsOther duties as assigned 

Qualifications

· High School Diploma or equivalent

· 3 years experience in an office environment 

· Must be able to read and write in English.

· Must have excellent Microsoft Office skills, including Word, Excel and Outlook 

· SAP – Accounts Payable and Accounts Receivable modules 

· Excellent communication skills

· Above average organizational skills

· Must be able to multi-task and set priorities
