Job summary

Perform the assigned clerical, data entry, administrative and other duties necessary to apply cash receipts and to process trade accounts payable in an organized, timely, and accurate manner

 

Summary of essential job functionsReview, code and obtain approval for incoming trade payables and expense reports Enter data into Oracle, such as placing expenses into the correct GL account Verify that correct approvals are in place. Select which payments are to be made on a weekly basis. Attach appropriate backup to payment and mail checks, filing copies with backup.Request W-9 information on all new vendors, tracking responses and entering into OracleMaintain and update spreadsheets on certain types of payable such as insurance, professional fees, etc. Investigate past due invoices and those not received with approvals Assist general accounting with account reconciliations and audits Perform assigned duties in a professional and service-oriented manner with customers, carriers, and fellow employees Process invoices (ensure appropriate approval by department head, coding and entering payment into Oracle)Research checks for field billing Process the A/P check runUpdate IT timesheet spreadsheetVerify bank activity for payroll, 401k and FSA transactionsEnter W-9 information into OracleProcess expense reports Update LTD and Life insurance spreadsheet and upload into OracleCapitalize IT internal labor hours Generate freight payments and backup paperwork to carriersOther duties as required by business needs or as assigned

 

 

Minimum Requirements

·  PC proficient (Microsoft Office preferred), 10 key, interpersonal skills – proficient with Excel/Oracle and certain bank software

·  Some local travel

 

Minimum Qualifications

·  Bachelor’s degree in Accounting or related financial field
