SPECIAL EVENTS COORDINATOR – PART-TIME
DEVELOPMENT DEPARTMENT
PART-TIME, NON-EXEMPT
JOB SUMMARY
Manage KCET Desert Citiesfundraising and cultivation events; perform all duties of event management, from conception to completion. Responsible for maintaining the database records for all events, which includes clerical recordkeeping, word-processing, email and telephone communication. This position is based in Palm Springs.
ESSENTIAL FUNCTIONS OF THE JOBSuccessfully manage all aspects of an event, working with the Executive Director, Special Events & Promotions and the Executive Director, Development interact with the staff in the KCET Development Department, other KCET departments, volunteers and outside vendors to event completion.Problem-solve, manage a timeline and budget essential.Database management of event records, reservations, promotions activities, and email communication.Manage, process and maintain all written event communication (letters, emails, and invitations).Coordinate and organize event check-in table, create accurate guest reservation roster, and printed name tags for all events.Manage silent auction component of events to include solicitation of in-kind contributions.Assist with event revenue processing as needed. Obtain and manage event volunteers. Perform other duties as requested as it pertains to KCET major donors, the KCET Desert Cities Development Advisory committee and support the Executive Director, Development in major donor work as needed.
JOB REQUIREMENTS2-4 years of administrative/office and event management experience; preferably in a fundraising, non-profit work environment. Bachelors Degree is highly desirable. Excellent organizational skills. Detail oriented with a high level of accuracy. Excellent written and verbal skills. Must be proficient with Microsoft Word, Excel, PowerPoint, Internet, Email, web resources, databases and research. Ability to coordinate, organize and manage multiple projects simultaneously and effectively communicate and respond to a variety of individuals and community contacts. Exceptional interpersonal skills (professional demeanor). Must be friendly, courteous and a good listener. Team player. Ability to prioritize and work efficiently in a fast-paced environment. Ability to work well under pressure and meet demanding deadlines. Ability to work well with a minimal amount of supervision. Must be available to work evenings, occasional weekends and travel to and from meetings and event venues. Must have reliable transportation and a valid CA drivers license.
