 CRO Operations Manager Reports to: President Supervisory responsibilities for: CRO Operations Associate Basic Functions:Perform CRO office and operations activities to ensure timely, high quality client deliverables while maximizing expense control and overall productivity. Review, develop and implement procedures and policies to improve operational activities involving client support, records maintenance, information processing, database management, and correspondence. Identifies strategic and operational deficiencies and recommends means to improve client service and internal operations. Relies on experience and judgment to plan and accomplish goals. Supervise CRO Operations Associate (administrative function). Maintain performance of metrics to ensure optimal operations between field staff, office staff, and clients.  This position requires a high level of technical competency, fluency with compliance terminology, and strong organizational and communication skills. Additionally, an effective presence on the telephone and a command of office software (Word, Excel, Access and PowerPoint) are essential. This job requires the ability to focus and multi-task in a rapid-paced environment, while demonstrating leadership and projecting an air of confidence and determination.  Responsibilities are conducted during the hours of 8:30 A.M. to 5:00 PM from Monday through Friday although occasionally night and/or weekend work may be required. In the future, the responsibilities of this position may expand as the company grows. General Duties:Perform the following activities to ensure continuity of services. Supervise CRO Operations Associate(s) to ensure effective and efficient support of ongoing operations and new initiatives. Such responsibilities include but not be limited to: Â· Client Contact and Supporto  Interact with clients to ensure timely delivery of high quality product deliverables, including correspondence and customer services (support and problem resolution)o  Coordinate and secure a complete set of materials necessary to conduct contracted services o  Complete necessary communications with clients based on prescribed guidelines or procedureso  Maintain company templates for current activities o  Ensure that data in tracking database (CLAUDI) are accurate and completeo  Manage detailed information for each audit (contact, protocol, etc.) for clients o  As needed, edit and/or prepare client proposals for content and budget accuracyo  Prepare and/or review contracts (master service agreements) and confidentiality agreements (CDAs)o  Copy, file and/or reconcile paperwork as neededo  Solicit new business from previous and or current clients§ May require employee to accompany President on capability presentations and visits to clients facilities Responsible for recruiting new business prospects in client arena, as possibleo  Assist President prospect and recruit new business in the GXP area, for government contracts, and with new business avenueso  Assist the QA team develop new products, as neededo  Participate in marketing research for new ventures or new, potential clientso  Provide recommendations to Presidento  Participate in sales and capability presentations, when and as neededo  Ensure effective and results oriented interactions with clients, auditor and vendors Â· Auditor Supporto  Once audit proposals are approved, coordinate, schedule and track audit assignments and associated documentationo  Issue and track SOPs/QOGs sent to individual  auditorso  Remain abreast of auditors’ schedules by maintaining an up-to-date calendar of audits (scheduled and open)o  Negotiate rates and bills with vendors and auditorso  Responsible for input of observations for performance of auditors including:§ Performance reviews of auditors§ Provide salary increase promotion or adjustment recommendations for direct reports and auditors§ Serve as coach and mentor to auditors§ Lead meetings and teleconferences,as needed§ Identify and address performance issues and training needs for auditors Â· Office Operationso  Update the Controller/General Manager with status of audits (number, types, participants, locations)o  Modify existing SOPs/QOGs, when and as neededo  Oversee office administrative functions to ensure that all files are maintained in accordance with established procedures.o  Maintain company templates for current activities o  Ensure that all office supplies, equipment, etc. are provided for o  Negotiate rates and bills with vendors, as neededo  Support management by investigating questions and performing/researching requested taskso  Detail Analysis as directed (spreadsheets/graphs) on weekly basiso  Help prepare Business Strategy for departmento  Make necessary management decisions when President is not in the officeo  Organize and administer off-site shows (trade shows (DIA), other meetings)o  May required employee to accompany President and other staff to help run exhibition booth at professional organizational meetingso  Responsible for input of observations for performance of personnel including:§ Participate in the performance review process for direct reports and auditors§ Provide salary increase promotion or adjustment recommendations for direct reports and auditors to President§ Serve as coach and mentor to direct reports and auditors§ Set up and chair meetings and teleconferences for staff as needed§ Identify and address performance issues and training needs for direct reports and auditors§ Provide guidance to other employees regarding company policies and procedureso  Develop office procedures as needed·  Othero  Maintain strict confidentiality relating to company business matterso  Facilitate interactions with company affiliated professional organizations  o  Helps with advertisements, capabilities, etc.o  Create PowerPoint presentationso  Conducts other special projects- Business Resumption Plan, etc.o  Maintains lock up of cabinets and desks as needed for security Qualifications A relevant degree or equivalent college credits Minimum of five years relevant work experience in office management Demonstrated ability to manage staff and resolve problems In-depth knowledge of office management Excellent communication skills, interpersonal and organizational skills Extensive
