Position liaises heavily with OTC Sales force as well as other BUs.In addition to typing, filing, and scheduling, performs duties such as coordination of meetings and conferences, and other special projects. Independent judgment is required to plan, prioritize, and organize diversified workload.·Arranges for travel.·Schedules conference calls; reserves meeting rooms; arranges for catering services.·Creates and develops visual presentations using PowerPoint·Prepare expense reports using Gelco System·Establishes, develops, maintains and updates filing system·Orders supplies and processes invoices through Ariba System·Opens Mail, answers phones, takes messages·Act as a liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information·Types general correspondences, memos, etc. Proofreads copy making appropriate changes. Responsible for accuracy and clarity of final copy·Update & distribute monthly sales reports, scorecards and promotion calendars.Qualifications·High school graduate with 5-7 years secretarial experience, 3-5 at a senior level with a strong finance acumen·Knowledge of secretarial and office administrative procedures·Heavy experience in coordinating international travel and international expense reports·High proficiency in Microsoft Office applications·Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy·Must be able to interact and communicate with individuals at all levels of the organization ·Mange multiple tasks simultaneously with minimal supervision in a fast-paced and constantly changing environment·Independently prioritize workload effectively·Display high initiative·Discreet ability to handle highly-confidential material·Overtime as required
