High Energy, Multi-faceted Entrepreneur in need of Executive Administrative Assistant to support day-to-day business functions as well as personal investments support and management. Ideal candidate will be professional, polished and able to effectively multi-task in a fast-paced environment.
NATURE OF THE JOB
Basic Purpose & Objective of the Position:
Provide ongoing support to a business professional. Manage all aspects of scheduling, telephone calls, meeting agendas, preparing reports, filing and other administrative activities, while exercising independent judgment in the resolution of administrative problems. Duties to include personal duties as well as professional.
This position requires an individual with exceptional written and verbal communication skills, the ability to work well with all levels of internal management and staff, who is able to work independently, with a proven track record as a proactive, motivated and results-oriented employee.
PRINCIPAL ACCOUNTABILITIES/EXPECTATIONS
Relieve management of administrative detail
Coordinate work flow
Update and follow up on delegated tasks to ensure progress to deadlines
Take initiative in manager’s absence
Maintain procedures manual to ensure consistent performance of routines
Maintain calendar; ascertain which events require boss’ presence
Fix commitments to maximize boss’ time efficiency
Perform to earn boss’ full confidence; Assure discreet handling of all business
Coordinate collection and preparation of financial and operations reports
Knowledge and Skills
Education:
High School Diploma requiredCollege Degree preferred
Field of Study/Area of Experience:
3+ years of related experience requiredMortgage/ Real Estate experience preferredEscrow experience preferredProperty Management experience preferred
Other Training/Technical Skills/Knowledge:
Strong written and verbal communication skills
Effective time management/organizational skills
Excellent computer skills, including database usage/management
Proficient with Microsoft Word, Excel, Access, PowerPoint and Outlook
Basic Quick Books experience preferred
Abilities and Behaviors:
Must be self motivated and driven to take initiative
Must posses exceptional organizational, time management, and analytical skills
Ability to think creatively and strategically, define problems, gather appropriate data, establish facts and draw valid conclusions
Strong planning and organizational skills
Ability to effectively manage time, execute multiple projects concurrently, and work under aggressive deadlines
