Architectural Admin Assistant

Small Architectural Services firm seeks administrative assistant for one-person admin position.  Qualified candidate must be able to work proficiently and effectively within wide range of duties extending from front desk Receptionist up to Office Manager responsibilities, as well as financial responsibilities for invoicing and financial reporting.   Candidate should be very organized and detail oriented - precision and accuracy is essential. 

 

Duties include, but are not limited to:

filing and maintaining drawings and large format documents

scheduling projects and project timelines

maintaining office calendars for projects and personnel

entering employee time and job records for billing

receiving and shipping documents

managing office contacts

managing office supplies

managing office equipment upkeep

general office organization and management

invoicing and billing to clients

financial analysis and reporting of project performance

scheduling and making travel arrangements 

 

Knowledge of computer hardware and software systems a plus

 

Prior experience in architectural or engineering firm is of special interest

 

Opening is immediate

 

Salary is dependent upon prior level of experience
