As the Air Force Program Assistant, you will provide high-level clerical and administrative support to a group of senior management/professional employees as outlined below.
REPORT PREPARATION, REVIEW AND SUBMITTAL
Contract compliance and deliverables reporting on a monthly basis
Develop a monthly deliverable reporting process and accompanying templates
Coordinate report content and deadlines with Program Mgrs, Project Mgrs. and accounting staff
Responsible for the submittal of all monthly reports to the client
DOCUMENT MANAGEMENT
Responsible for compilation, tracking and filing of all project documents
Maintain all contracts and project documents in electronic and hard copy format
Update files, follow up on missing documents and create new files as needed
Internal review of documents with Program Mgrs., Project Mgrs, Contract, and Accounting
Provide the fully executed documents for all parties
Communicate contract termination dates and track project completions
prepare and submit client notification letters
DATA ENTRY MANAGEMENT
Client database management
Entry of monthly invoices, and discrepancy reporting
Print confidential monthly reports for management review
Entry of contract revisions
Creation and distribution of database driven reports
Assist in database development
PROPOSAL SUPPORT
Provide timely notifications of RFPs received and submittal deadlines
Compile, organize, and upload proposal applications to company ftp sites
Proposal research, preparation and formatting assistance
Final assembly and production of proposal documents
Create, organize and maintain past performance materials and files
EVENT PLANNING
Organize, event locations and provide travel, lodging and transportation information to all involved parties.
Support briefing preparation (i.e. audiovisual aids, hand outs)
Provide administrative support to all event attendees
Prepare written summaries of comments and dialog of meetings
GENERAL ADMINISTRATIVE
Conduct weekly client satisfaction calls and distribute accurate client feedback
Update and submit monthly travel calendar each week to Air Force Program Manager containing all Air Force management marketing activities
Act as phone back up for office receptionist when needed
Admin. Support to Air Force Program Mgr, Deputy Program Mgr and the Program Administrator
QUALIFICATIONS
A minimum of 3 years experience in an Administrative support role.
Position requires proficiency in MS Word, Excel, PowerPoint, Access and Outlook.
Prior experience working for the military or government contractor is preferred.
Prior experience in working with federal contracts/projects is a significant plus.
Skilled in self-organization and time management:
Ownership of deadlines and work product, ability to act independently and commitment to team efforts, is a must.
Professional phone manner and highly developed written, verbal and interpersonal communications skills
This position reports to the Air Force Program Administrator.
