Executive Assistant
We are looking for an Assistant to the President/CEO. Our company designs, prototypes and manufactures custom imaging, sensing and fiber optic systems for defense, aerospace and commercial customers.
The Executive Assistant role calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff. Schedule and compensation are open for discussion, but a premium would be paid for specific defense industry experience.
The successful candidate will be a highly-motivated self-starter with excellent computer systems skills and ability to managing multiple complex projects and set priorities appropriately. There is an opportunity for career growth and equity for a candidate that excels.
The Assistant to the CEO will report directly to the CEO and performs a series of duties from complex to administrating including: Assist executives and account managers with daily operations Answer phones and be the first voice to customers and government officials Support in managing personal relationships Extensive support in preparing of marketing and public relations materials Keeping CEO organized - maintain calendar, contacts, travel arrangements Maintains inventory and office equipment to ensure uninterrupted business operations Attend trade shows, help plan and set up large exhibits (20X20 islands)– manage all arrangements for the show and sales team Personal correspondence and letter writing for the CEO Computer and internet research Manage data entry in complex customer relationship management databases and internal ERP systems General administrative tasks Perform personal errands for the CEO Assist in Maintaining paper and electronic filing systems Complete expense reports in MS Excel format Process mail and manage paper flow within the office
Required Skills: The candidate should have the following attributes: Only those with exceptional computer skills will be considered. High level knowledge of complex spreadsheets (MS Excel), word processing (MS Word), PowerPoint, Adobe photo shop, Adobe acrobat writer and editing, and various web applications. Types proficiently - (50-70 WPM). Proficiency in website editing using Contribute software a plus, but will train. Must be extremely detail oriented with the ability to manage many task and projects simultaneously without missing any deadlines. Must have the ability to think creatively and quickly overcome unforeseen obstacles Must be highly organized with a passion for operational efficiency and excellence Must be a high energy person that is a cultural fit within an organization that is constantly growing and have the ability to integrate new systems to manage that growth. Must be very good with numbers and managing complex spreadsheets and expense reports Excellent written communication and letter writing skills combined with a knowledge of proper grammar and spelling.
