The Document Control Assistant reports to and is responsible for performing duties as directed by the ISO Quality Systems Manager, along with other duties as required by the Director of Operations. The Document Control Assistant is responsible for the control and maintenance of all relevant quality system documentation, including standard operating procedures, work instructions, forms, and external standards.  Other duties may be assigned as required, depending upon the available time, production volume and other criteria as determined by the management of BAE Systems. Full compliance with current and future policies will be required to ensure that your work contribution is in the best interest of BAE Systems.Responsible for the maintenance of the BAE Systems document control system;Responsible for formatting, proper spelling and clarity of text for any written documents submitted to document control; Review all electronic documents submitted to document control for correct formatting, spelling, and clarity of text before releasing as approved documents;Maintains revision and approval status of all documents;Maintains hard copies of all approved documentation;Maintains all ISO standard operating procedures, work instructions, and product labeling files;Take the lead on resolution of Document Control related issues, working to resolve system issues and functional problems with the appropriate parties; Research prior change requests for users, including history of a change, reason for change and an explanation of the actual change;Maintain appropriate form templates for access from company intranet sites;Updates computerized documents with data from change control documents and maintains archive of changed ISO/FDA controlled documents and labeling; Manages circulation of documents for management approval; Ensure that specified training has occurred as required, utilizing the training software on new/revised documents including procedures, work instructions, forms, etc.;Coordinate yearly review of appropriate quality system documents; Assign control numbers to approved Variances and maintain Variance Log; Provide document management system training and troubleshooting for new and advanced users (internal and external);Generate document management system documents, and assist in implementation of new document and records management programs;Assist in generation, revision, and disposition of program, construction, and engineering documents;Assist with reporting and processes for scanning and uploading electronic files to document management system, and cleaning scanning equipment;Assist with troubleshooting scanning software upgrades and file conversion related issues;Assist ISO manager with audits/surveillances by performing electronic document management system quality assurance tasks, as assigned;Assist with creation and maintenance of databases, procedures, and files for document control system and records (includes tracking tools, changes, reports and logs);Work closely with ISO manager to provide support for electronic document management system and records related issues and tasks;Responsible for Calibration control and documentation of all quality verification equipment;Responsible for Incoming Receiving Inspection / verification and associated documentation;Responsible for Outgoing Product Quality Verification and associated documentation;Additional responsibilities may include: Vendor audits;Web Cutting Verification;         Assisting in Soft goods inspection;Additional job related duties as assigned or directed by the Quality Systems Manager or the Director of Operations.
