2,970.00 - 3,650.00 USD /month Status: Â Full Time, Employee Job Category: Â Administrative/Clerical Relevant Work Experience: Â 2+ to 5 Years Company: Â Battelle Reference Code: Â BT15820 Administrative Office Assistant Position Responsibilities Assist managers in the EDMS Product Line with administrative duties, support projects in EDMS, and assist staff with a variety of activities including: - Communicate with clients, management and staff in a clear and accurate manner - Handle P-Card purchases, purchase order requisitions and P-card reconciliations - Act as a delegate for Hiring Managers - Coordinate Diversity Training for staff - Review time cards for discrepancies - Create reports in MS Excel from monthly PL labor and project staffing data - Maintain EDMS portion of King Avenue space database (MS Excel) - Assist in processing proposals, including the use of Battelle's "Opportunity Dashboard" and interfacing with Business Office in the costing process - Maintain Project Files containing Quality System documents for various projects - Provide guidance in filing travel expense forms - Perform general office duties (ordering of supplies, mail distribution, equipment upkeep, request for repairs) as needed Required Qualifications - Two years experience in administrative duties at Battelle in a Product Line environment, or equivalent experience at a similar organization - Proficiency in computer skills, particularly the use of Microsoft Office software, including MSWord, PowerPoint and Outlook - Three years experience in the use of MS Excel - Two years experience with commercial credit card purchases and statement reconciliation - Familiarity with electronic time card systems - Ability to coordinate and prioritize the execution of multiple tasks, meet deadlines, and adapt to changing priorities - Ability to sit for extended periods and operate office equipment - Effective English language and grammar skills - Eligibility to acquire and retain a Top Secret security clearance Preferred Qualifications - Five years experience in administrative duties at Battelle in a Product Line environment - Two years experience with use of the Concur travel expense reporting system - Formal training in the use of Microsoft Excel - Familiarity with Concur® travel expense software. - Current/active Top Secret security clearance In order to be considered for the Administrative Office Assistant position all applicants must complete the required assessment.
