Advertising Administrative Coordinator

POSITION OVERVIEW

 

Performs administrative and account payables and other duties effectively to contribute to the overall productiveness of the Marketing department.  Responsible for coordinating the processing and payment of all advertising and marketing related invoices and updating the advertising budget spreadsheets as required for all locations.  Also responsible for compiling the Daily Leads and all APPTALL reports as well as all Tradeshow coordination and other duties.

 

REPORTS TO

 

This position reports directly to VP of Marketing.

 

WORKING ENVIRONMENT

 

This position is primarily in an office environment.  Company is located in North Houston.

 

QUALIFICATIONS

 At least 3 years of marketing administrative experience.One (1) to two (2) years experience as a junior media buyer.Experience with contacting TV, Radio, Newspaper, Yellow Pages, Design, Print and Advertising agencies.Computer proficiency in Microsoft, Excel, Outlook, Power Point and Strata.

 

JOB DUTIES

 

1. Ability to resolve any discrepancies regarding invoices.

2. Ability to review vendors’ expense to manage cost and review saving strategies or provide effective solutions to benefit the Company.

3. Responsible for Service Magic billing and credit requests.

4. Responsible for entering media invoices into Strata, reconciling invoices with actual spots run in Strata and input/approve make-goods.

5. Process quarterly posts and coordinate traffic stations.

6. Prepare pitch books, CD duplication and shipment as required by location or Sales department.

7. Update, print and prepare Sales Training Manuals as needed, assist sales support and locations with Customer Incentive Programs.

8. Responsible for all marketing materials both internally and externally.

 

 

TRADESHOW COORDINATION

 

5.   Responsible for coordinating, preparing and shipping booths and other items to tradeshows as requested by locations

6. Responsible for hardware maintenance and repair and billing repairs to the appropriate location as required.

7. Maintaining the booth storage room.
