JOB RESPONSIBILITIES (in priority order):

· Provide phone coverage for VP.

· Receive and distribute incoming mail for VP and HR team.

· Manage VP’s calendar and update contact list.

· Ensure VP is updated in a timely manner regarding any changes.

· Schedule and coordinate travel, meetings and conferences.

· Arranges catering for internal/external meetings.

· Prepare and submit expense reports and timesheets for team.

· Maintain and update org charts.

· Assist in preparation of presentations.

· Maintain confidentiality with sensitive information at all times.

· Track Vacation/Sick/Personal Balances for teams.

· Assist with New Hire Orientation and New Hire On-boarding.

· Act as back-up for other administrative support team members.

· Assist other departments with special projects, including but not limited to Employee Rewards programs and other company events.

· Special projects as needed and assigned.

 

QUALIFICATIONS REQUIRED:

· Bachelor’s degree preferred, or equivalent experience.

· Must have 2-5 years previous administrative support experience.

· Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).

· Must have strong written and verbal communication skills and be able to communicate effectively with all levels within the organization.

· Tenacious in meeting deadlines, well organized, adept at managing peak workloads.  This individual must have integrity, as well as a respect for all individuals at all levels.

· Demonstrated ability to maintain required performance level in a fast paced environment with changing priorities and deadlines.
