Service Delivery Administrator - Mailroom
Service Delivery Administrator Mailroom - this is a high volume, time sensitive role which directly impacts client satisfaction. This is a fast pace environment which requires excellent communication skills and attention to detail. There are many process, policies and systems used throughout the day, and the requirements for transactions can be very complex.
Excellent customer service is provided to all internal/external clients, in relation to receiving and dispatching documents via intercity courier FEDEX, Registered or regular mail.
Other responsibilities include scanning of all incoming transfers and white mail. This includes preparation/validation of requests, preparation of batch headers, verification of and sorting of documents(Incoming transfers, CDSX deposits, withdrawals and all other transactions from brokers, depositories and the general public). Ensuring that all transfers or other transaction requests are scanned to WorkFlow (WF) in the time standards required, based on regulatory requirements or internal standards/policy.
Additional duties include filing of documents, preparation for archives, ordering of records from Iron Mountain, and delivery as required to other areas. Mail metering, FEDEX shipping.
• Must be able to read material requiring understanding of content in items, such as instructions, procedure manuals, documents, and correspondence.
• Excellent communications skills and professionalism
• Required to multi task and have the ability to prioritize work based on due times and schedules for external service providers.
• Must perform routine, specialized or technical tasks, or procedures requiring specialized knowledge of the requirements to transfer securities.
• The incumbent has a responsibility to provide service to internal and external clients in a timely manner, according to the specific requests, stated expectations and internal and regulatory standards.
• Must be able to cope in an ever changing environment.
• Must be able to deal effectively with stress.
• Must be able to prioritize and cope with tight deadlines.
• Must be multitasked.
• The priorities of the job must be continually changed to meet multiple and sometimes conflicting demands on their time and effort.
SKILLS AND EXPERIENCE
1 - 2 years Stock Transfer experience an asset
Previous Mail room Experience is an asset
Knowledge of Workflow, SCRIP, DSS Doc Viewer an asset
Ability to perform tasks in on line environment
Team player with the ability to work independently with minimal supervision
Excellent organizational skills with the ability to recognize changing priorities
Analytical skills with good research and problem solving skills
Excellent verbal and written communication skills
Excellent PC skills
Familiarity with Word and Excel
Ability to make decisions based on instructions and policy criteria.
Provide support to any Service Delivery unit or branch as called upon
