Senior Sales Coordinator
Responsibility for maintaining issues for the Business Office providing executive level of support and assistance to the Sales/ Management Team. Responsibilities include: expense reporting, conference arrangements, stationery supplies, travel arrangements, preparing correspondence and presentations, preparation and distribution of weekly management reports, assistance with budget reviews, monthly billing reports and accounts receivable.
Major Responsibilities:
1. Provide administrative support to the President, COO and Sales Team
2. Work with Finance to reduce and control administrative costs (office supplies), travel costs through travel searches, responsible for all ordering of Admin. Supplies and supporting cost effective policies, controlling and seeking approval for unusual expenditures.
3. Arrangements for senior level meetings i.e. weekly management meetings, conference calls, offsite meetings, prepare and distribute materials
4. Develop Powerpoint presentations, spreadsheets and misc. reports
5. Maintain organizational charts
6. Travel arrangements (airline, hotel bookings, car rentals, etc.)
7. Prepare expense reports for Execs
8. Respond to routine correspondence
9. Exercise considerable judgment and discretion in completing assignments
10. Coordination of Siebel maintenance, distribution of various marketing materials, presentations, back-up on events, invoice processing, back-up on press release dissemination, etc.
11. Monitors monthly aged receivable reports, identifies problem accounts and follows up with the clients through correspondence and phone calls.
12. Collection of Written-off accounts - continue monthly to collect on account, if dollars are received prepare the journal entry to apply the funds to Bad Debt Recovery to the appropriate cost center.
13. Train and able to use internal systems (Paisley Systems, Concur ,Hyperion, PeopleSoft
14. Assist in maintaining internal calendar, website, product sheets etc.
15. Assist in preparing proposals to clients
16. Billing - deals singed, review and assist with monthly invoicing, outstanding amounts, write offs and budget reviews.
17. Assist marketing with prep for conferences, events, sponsorships
18. Marketshare report - maintain, keep updated on all competition, releases etc.
19. Prepare ROB Special Meeting letters - every week
20. Special projects as assigned
Skills and Experience:
Minimum 3-5 years of progressive experience, preferably in Executive Administrative/Managerial Role in a financial environment preferably with some exposure to the Financial Services industry.
Post secondary -administration or financial courses
Intermediate level experience (or training) on PC applications
Accuracy and attention to detail
Good verbal and written communication skills
Flexible within a constantly changing environment
Knowledge of budgeting procedures
