Job Cost Administrator
Job Title: JOBCOST / SUBCONTRACTS Reports To: Assistant Controller BASIC PURPOSE AND FUNCTION The basic functions for this position are as follows: 1) Checking pay applications for accuracy in order to release checks in a timely manner 2) Auditing of FOM data input for budget and jobcost balancing 3) Monthly journal entry balancing 4) Jobcost data entry 5) Generating and checking jobcost reports for accuracy SUPERVISORY RESPONSIBILITIES None SPECIFIC DUTIES AND RESPONSIBILITIES 1. Verifying data from jobsites for budget and jobcost for accuracy (20%) 2. Input of data (5%) 3. Generating reports (10%) 4. Auditing of jobsite data (20%) 5. Verification of check documentation from subcontractor (45%) 6. Meet expectations for attendance and punctuality. 7.Other duties as assigned. Work is divided between 4 Jobcost Subcontract Administrators, as each is responsible for certain jobs. This position is set up as an arm of the various jobsite offices, to receive information pertinent to the project as a whole and to make jobcost, quantities, and projections as accurate as possible, to reflect good cost management for monthly reports. All data is reviewed upon receipt to ensure accuracy and integrity in the cost accounting system. The incumbent should have a high school diploma and a minimum of 4 years general accounting experience. Priority consideration should be given to those candidates with construction cost accounting experience and / or manufacturing cost accounting experience. Proficiency in this job typically takes six months to one year depending on prior experience. Incumbent should be well grounded in double entry bookkeeping principles. The incumbent must be able to work in harmony with other staff members. Considerable tact and discretion is required in correcting incomplete and / or inaccurate data submitted by jobsite personnel. This job also requires communication on a daily basis with Field Office Managers, Project Managers, and Subcontractors through phone and written mediums. Above average oral communication skills should be stressed during employment interviews. Frequent use of personal computer, printer, 10-key calculator, fax machine, copier, and telephone. As cost and quantity data is being received from project jobsites, the incumbent must be aware of the approved cost codes for each job, owner-approved change orders to which additional costs can be charged, and whether or not data should be questioned for accuracy. In addition, this incumbent will complete a variety of journal entries and other responsible accounting functions requiring double entry bookkeeping. Knowledge of jobcosts are in turn utilized to help monitor both cash flow and check instruments to subcontractors. The decisions made in this job are concerned primarily with the acceptance or rejection of cost and quantity data as submitted from the field and the immediate resolution of discrepancies as they are identified. The incumbent works under general supervision, but a supervisor is available to answer questions and provide technical guidance when necessary. While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. The employee frequently is required to sit and reach with hands and arms. The employee is occasionally required to stand; walk; and stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 10 pounds.
