Job Summary:
The Executive Assistant uses experience and professionalism to support the President in his daily responsibilities. The positions primary focus is to provide outstanding administrative support, while representing the Company in a professional manner. Daily tasks will be demanding and varied, and should be handled with the utmost confidentiality.
Duties and Responsibilities:Prepares correspondence, memoranda, and other legal documents from written and oral drafts; drafts standard correspondence and other documents.Handles and safeguards confidential information and sensitive material.Utilizes strong grammar, spelling, and proofreading skills.Receives internal clients, vendors, and visitors; maintains good public relations with internal clients.Operates standard office equipment including computer, scanner, typewriter, telephone, photocopier, facsimile, and postage machine.Answers telephone calls, takes accurate and concise messages.Maintains calendar appointments and deadlines to ensure proper accountability.Organizes and prioritizes multiple tasks and completes them under time constraints.Maintains communications (email, written, phone, and fax) while President is traveling.Reads, sorts, and distributes incoming mail to the President.Schedules appointments and coordinates travel schedules.Assists with meeting and event planning.Assists with daily correspondence and filing.Tracks and reports time and expenses in detail for self and President.Creates and edits PowerPoint presentations.Maintains a professional and positive attitude at all times and is a team player when other Executive Assistants are unavailable or need support.Assists with other projects as needed.Performs other duties as assigned.
Education/Experience:
High-school diploma or general equivalency diploma (GED) required and seven years related administrative support experience with C-Suite executives; or equivalent combination of education and experience.
Computer Skills:
To perform this job successfully, an individual must have advanced skills in Microsoft® Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research.
