DESCRIPTION:

Reporting to the Manager, this position provides administrative support to a group of Relationship Managers in meeting client needs. The Administrator must ensure that all dividend files are handled as assigned and are being handled in a proactive manner; confirmation and/or sign off with respect to the client's specific requirements are managed with the assistance of the RM.



RESPONSIBILITIES:



Make deposits and prepare journal entries for all (Calgary) clients.

Ensure communication with Finance Dept for receipt of distribution income, and subsequent dispatches.

Prepare cheque requisition for clients with only certain amounts.

Ensure funds are received and deposited on payable date.

Update Cosmos Company and prepare Work Orders in RADAR at least 15 days prior to disbursement record date; ensure entries are audited.

Prepare funding letter if applicable.

Run COSMOS report to ensure all dividend payments have been captured.

Print distribution lists as required, with amendments as necessary.

QUALIFICATIONS:



Post Secondary business, finance or administration courses or studies is preferable.



Minimum 1-3 years administrative experience, preferably in stock transfer/securities industry or equivalent combination of education and experience.

Financial data input history.

Ability to manage time and prioritize task to meet deadlines.

Ability to think strategically, identify problems and find solutions.

Confidentiality and strong attention to detail due to the high monetary sums involved.

Proven client service experience, with excellent written and verbal communication skills.

• Intermediate level of experience (or training) on PC applications, such as word processing, Excel, email, in-house systems.
