Client Services Administrator

Duties and Responsibilities:

Meetings

Assume responsibility for assigned files in accordance with current Desk Operating Procedures, processes and time frames. These will include, but are not limited to Meeting set up on SCRIP, preparation of RADAR work order, update COSMOS & SEDAR for regulatory notices, send searchcards, prepare reports, ballots, proxy tabulation, and final reports all in accordance with client's requirements:
Ensure all scheduled critical activity dates and legal deadlines are met.
Make sure all matters requiring clarification are addressed as soon as possible, and no later than prior to legal deadline.
Prepare all documentation for meeting - including votes recap - at a minimum 24 hours before the meeting date or in accordance with client critical dates.
Critical activities are followed up with RM, as applicable prior to delivery and filing deadlines.
Billing for meeting services captured and submitted within one week of the meeting date in accordance with Financial Objectives.
Mailings

Schedule mailing including the updating of RADAR work orders.
Updating COSMOS Company.
Prepare certificate of dissemination for SEDAR/EDGAR filing (when required).
Verify material quantities and co-ordinate mailings.
Prepare Confirmations of Mailing for SEDAR filing, as required.
Co-ordinate quarterly mailings in accordance with client instructions.
Assist Manager, CPUx to co-ordinate efforts of contract staff brought in for Proxy Season.
Billing for mailing services captured and submitted in accordance with Financial Objectives.
Skills and Experience:

Good working knowledge of Microsoft Office, including Word, Excel and Outlook
Quick learner
Comfortable learning new computer systems
Ability to multi-task
Ability to prioritize when encountering conflicting duties
