Education/Experience Requirement: AA and 2 years bookkeeping or BA (Business or Accounting)

 

 Office Requirement:  Cubicle across from reception, PC and two monitors, dedicated printer.

 

Work Location: Arlington, VA (near Ballston metro)

 

Job Description:

 

The candidate will be responsible for Payroll processing, Accounts Payable, Accounts Receivable, new hire assistance, general office administration, and phone coverage during reception lunch, breaks, and absences.  The candidate will provide support for the DELTEK conversion.

 

Payroll – (must attend ADP training) - Input all new hires and payroll changes.  Process bi-weekly payroll to preview. 

 

Accounts Payable – Sort daily mail, match bills with receiving reports/packing slips, run weekly report for payments, issue checks for all approved payments.

 

Accounts Receivable – Prepare billing reports from timesheet system.  Prepare all invoices for review. Reconcile invoices to timesheet system.

 

DELTEK Conversion – (must attend DELTEK training) Assist with the data migration to the DELTEK system.  This will require a great deal of data input and accuracy is of the utmost importance.  Assist controller during the parallel run phase.

 

New Hire Preparation – Coordinate with supervisor and Network Team to assign office space, prepare cubicle labels, business card proofs, gather initial supplies and assess the general condition of cubicle/office.  Work with Front Office Coordinator to make sure all drawers are empty, and the previous occupant’s belongings have been removed.

 

General Office Administration – Do spreadsheet and document processing as assigned, review and release supply orders including Peapod, assist in shelving supplies, assist in planning and executing monthly luncheons including set up, clean up, and partial phone coverage so that Front Office Coordinator may eat and socialize as well.

 

Reception Coverage – Provide Front Desk Coverage during breaks, lunches, and absences. (not long term absences, but a sick day, doctor’s appt., etc.)
