KEY RESPONSIBILITY AREAS include the following.

 

1. Administrative Assistant to Department Manager (PRU)

n  Coordinate office management activities for the Manager.

n  Organize, compile, assimilate, and prepare confidential and sensitive documents.

n  Establish and maintain various filing and records management systems.

n  Compose letters and memoranda in response to incoming mail and calls.

n  Electronically produce a variety of documents, charts, and graphs in final form.

n  Prepare guest registration, room reservation, agenda and collect materials for meetings, take minutes and keep records of proceedings as required.

n  Recommend actions to be taken on office expenditures such as equipment and supply needs.

n  Make domestic and foreign travel arrangements; prepare itineraries; prepare and compile travel vouchers, maintain all travel records.

 

2. PRU Accounting / Financial assistance

n  Prepare PRU financial reports on budget, forecast and actual.

n  Create spreadsheets to monitor any financing to its subsidiary/affiliate and payments to parent company.

n  Support development of presentation packages for budget/forecast review.

n  Prepare expense reports, conduct SAP entries for payments and reimbursements for PRU activities in a timely manner.

n  Perform related work as assigned.

 

3. Affiliated Company’s Financial Reporting

n  Execute month-end closing in accounting systems such as SAP/HFM.

n  Work with corporate counsel to Implement legal procedure.

n  Create spreadsheets to monitor financial performance of exisiting investments (venture investment) for audit precaution.

n  Implement internal/external process for capital calls and distributions from the investments.

 

Qualifications

n  Five years of experiences in an international corporate environment as account / administrative assistant

n  Bachelor’s degree

n  Basic level of accounting / tax knowledge, particularly consolidation.

n  Strong analytical skills.

n  Proficient in Microsoft Office:  Word, Excel and PowerPoint.

n  Excellent interpersonal skills.

n  Ability to work independently; Must be multi-task, detail-oriented and a team player.

n  Experience with accounting software such as SAP and Hyperion Financial Management system preferred.

n  Japanese Language preferred.
