Position Summary:
The Accounts Payable Clerk will maintain and process weekly accounts payable and will be involved in account reconciliations, journal entries, month end close and annual budget activities. Also, some payroll assistance with processing employee payroll working with 3rd party agency on a bi-weekly basis required.
Key Job Elements:
· Daily processing of payable invoices to include vouchering, matching, and disbursements while ensuring proper dept coding and approvals.
· Collects data to determine costs of business activity such as purchases, inventory, labor, etc.
· Maintain and transmit Payroll and related reporting requirements in conjunction with 3rd party payroll and outsourced Human Resource agency.
· Provide HR support to College wide staff while working with outside insurance agencies to ensure quality benefits and accuracy as it relates to employee benefits and compliance issues.
· Provide customer service and support to internal and external customers with respect to financial inquires.
· Analyzes financial information detailing assets, liabilities and capital, and assists with the preparation of balance sheet, profit and loss statement and other reports, to summarize and interpret current and forecasted organizational financial positions for other managers and corporate.
· Budgeting -- collects and analyzes records of present and past operations, trends and costs, estimated and realized revenues, administrative commitments, and obligations incurred to project future revenues and expenses. Works with VPFA to produce timely monthly and quarterly reforecasts of performance expectations.
· Responsible for annual preparation and submission of W2’s and 1099’s.
· Other special projects as assigned.
Position Specifications:
· Bachelor's degree (BA or BS) in Accounting or Finance
· 3 to 5 years of “hands-on” payroll and payables experience.
· Proficiency with Excel and Paychex Software and Paychex online.
· Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
· Excellent communication, presentation and interpersonal skills to both internal and external customers.
· Experience using Microsoft GP version 9 preferred.
· Knowledge and understanding of GAAP principles.
Financial Aid Compliance Officer
Reports to: Vice President of Administration and Finances
Interacts with: Financial Aid Staff and Students
Position Summary: To serve as Financial Aid Compliance Specialist, providing direction and leadership for SFA staff, and manage SFA with a special emphasis on compliance with federal regulations and Bay State College policy and service to the students.
Key Job Elements:

2. Provide that all students (new, re-entry, and continuing) are planned and aware of their financial obligations to the school as well as the appropriate financial resources available to them.
3. Insure that all financial assistance programs available in the school are in compliance with all applicable regulations.
4. Responsible for adequate training and development of all SFA staff.
5. Provide for self-professional development.
6. Coordinate interoffice functions between SFA and other Bay State College departments (Admissions, Student Services, Academics, Student Accounting, Registrar, etc.).
7. Research and develop additional financial aid resources.
8. Coordinate interoffice functions in SFA (data entry, planning, etc.).
9. Prepare reports as necessary.
10. Counsel students and parents regarding financial plan/eligibility.
11. Develop objectives to achieve long range goals within the SFA budget.
Standards of Performance:
1. All SFA work to be done satisfactory and in compliance with regulations and Bay State College policies to be confirmed by annual audits.
2. All financial aid is to be awarded / disbursed in compliance with DOE regulations.
3. Training is scheduled as needed with weekly staff meetings to provide product knowledge, customer service training, and to address problem areas.

5. Maintain a resource file on additional financial aid resources.
6. Review and maintain communication and cooperation within the SFA department.
7. Reports are completed and submitted in a timely manner.
8. Assure that student / parents have all questions, concerns addressed regarding financial plan / financial aid eligibility.
9. Create an environment where departmental staff is an active, integrated, and supportive group to the whole school.
10. Active participation in state and regional professional associations. Attendance at Federal, state and corporate training workshops.
